Join our Seattle-based team from Vietnam to run our back-end operations. We need a highly organized, proactive professional to manage our project files, finances, and vendor coordination.
KEY ACCOUNTABILITIES
Business Operations & Financial Management
Manage end-to-end expense tracking, invoicing, and payroll systems via QuickBooks.
Ensure 100% accuracy in financial data entry, treating every spreadsheet and ledger with the same craftsmanship and care as a physical build.
Reconcile accounts regularly and proactively flag discrepancies, finding the solution before presenting the problem to the founders.
Digital Job Site & Information Architecture
Build and maintain an effortless, high-speed cloud filing system for all project media, blueprints, and business documents.
Organize hundreds of job site photos, material specs, and project files so our on-site team in Seattle can retrieve any specific document within 5 seconds.
Audit, maintain, and refine digital workflows to ensure seamless integration and file-sharing across our required Apple-based ecosystem.
Brand, Marketing & Proposal Coordination (NEW)
Understand the basics of branding. You don't need to be a designer, but you should know how to keep marketing materials, proposals, and presentations clean, consistent, and "on-brand" with our established style.
Manage our digital marketing assets and file types. You must know how to properly format, convert, and export files (e.g., prepping high-res files for print vs. compressed files for web).
Build the foundational drafts for client proposals, slide presentations, and company portfolios. You don't need to finalize the creative design, but you must lay out a highly organized, clean "first draft" so the founders can step in and finish it efficiently.
Workflow & Talent Coordination
Serve as the primary communication bridge between our Seattle team and vendors, ensuring clear, professional, and timely updates.
Source, vet, and manage international collaborators (such as 3D renderers, video editors, and designers) to keep projects moving forward with precision.
Enforce SG quality standards across all external talent, ensuring every deliverable matches our uncompromising attention to detail before it reaches the founders.
Proactive Operational Support
Research and familiarize yourself with Seattle/US building codes, zoning rules, or permit requirements when setting up project files or sourcing materials, ensuring we have the right information prepared.
Identify operational gaps and independently research, propose, and implement systems to fix them—you do not wait for a manual.
Support the founders by managing the day-to-day "back-end" engine, allowing them to maintain absolute focus on the physical job sites and client relations.
Adapt quickly to evolving project needs, unlearning traditional corporate habits to execute tasks the "SG Way," valuing the outcome and quality over "hours spent."
